Completing a One-Time Text File Download

To complete a one-time text file download

From the Download Basket page, (see “Viewing the Download Basket� ), in the column to the left of the Trading Partner, select the check boxes of the records you want to download (click again to deselect).

Click Download.
Note: All of the selected records in the download basket will be downloaded.

The Complete Data Download page opens.

From the Attribute Filter drop-down list, select a filter to restrict the export of GTIN attributes. The attributes that are exported become the column headers when you open the resulting text file as a CSV file (using an application such as Excel).

Select Text File as your download method. You are limited to 250,000 GTINs in one text file.

(Optional) To include component attributes in the download file, select Include Components. Component attributes for the exported GTINS will be included for all records that were in the download basket.
Note: A GTIN can have two levels of components; a GTIN can have components (first level of components), and the components can have components (second level of components).

Currently, it is not possible to add a GTIN to the download basket and download two levels of components for that GTIN. To achieve this scenario, you must add the GTIN to the download basket and then add the first level component GTINs to the download basket. Since Catalogue downloads components for all GTINs in the download basket, both levels of components are downloaded.

(Optional) To include image attributes in the download file, select Include Image Attributes. Image attributes for the exported GTINS will be included for all records that were in the download basket.

Click Finish. Catalogue retrieves the selected data and stores it. Once Catalogue begins the process of retrieving the data, the download basket is empty.
Note: The system limits a single text file download to 250,000 items; an error message displays if you exceed the limit. You cannot complete the download until the number of items is below 250,000.

To check the status of the data retrieval, click Data Management > Text File Download. The Text File Download—Results page opens.

Once the data retrieval is complete, it is available from this page (even after you log out and log back in) and can be downloaded multiple times to create text files without incurring additional charges.

The list displays the results of all text file downloads that you have initiated in the last 15 days. The most recent result is listed at the top of the list. After 15 days, a text file download result is automatically deleted from this list.

The table displays from left for each result in the list:

Status—Status of the data retrieval from Catalogue.

User Id—The user identifier.

Account Id—The account identifier.
*
Start Date—Date and time that data retrieval started.
*
End Date—Date and time that data retrieval completed.
*
Duration—Time it took to retrieve the data.

Download—Download icon (click to download the data to create a text file).

To create the text file, in the Download column, click the icon next to the results from which you want to create the text file. The Text File Download—Options page opens. On this page, you can set options that determine how the data is generated in the text file.

All Attributes—The text file will generate all attributes (including blank columns, for example, from multiline attributes that contain no data). Go to Step 16.

Limit Multiline occurrences—The text file will generate a specified number of multiline attributes. Go to Step 14.

Note: The multiline attributes displayed on this page are determined by the attribute filter you selected for this request on the Complete Data Download page.

The numbers displayed to the right of each multiline attribute (for example, 2 of 3) are represented as follows:

For example, Country of Origin (2 of 3) indicates that at least one item in the file has two Country of Origin occurrences out of a possible three Country of Origin occurrences allowed for that attribute.

The ability to display a limited number of multiline occurrences in a text file is designed to support applications that can handle a limited number of items (for example, MS Excel does not support more than 256 columns of data).

Click Save.

The Download button displays in the upper-right corner of the page.

Note: Even if you do not make any changes to the default limits that are shown, you must click Save; this action causes the Download button to display.

Click Download to initiate the file download. The File Download dialog opens.

Click Open to view the files. The file is downloaded as a zip file. You must unzip the file to view it.

The file opens as a text file. See “Opening a Downloaded CSV Text File in MS Excel� for information about working with the OpenText CSV format within MS Excel.

Click Save to save the file to your computer. The Save As dialog opens. Type a file name in the File name text box and click Save. The file is saved to your computer as a zip file. You must unzip the file to view it.

The file opens as a text file. See “Opening a Downloaded CSV Text File in MS Excel� for information about working with the OpenText CSV format within MS Excel.

Click Cancel to cancel the download and return to the Text File Download—Options page.

If you selected Include Components, the zip file contains a file for the GTINs you selected and a separate file for the GTIN’s components. The component’s file can be identified by “comp� in the filename.

If you selected Include Image Attributes, the zip file also contains a separate file for the image attributes. The image file can be identified by “img� in the filename.

The corresponding file names are correlated by the user ID, account ID, and date and time of data retrieval.

When you open the text file as a CSV file (using an application such as Excel), the column headers are displayed as follows:

Note: The download basket is emptied when you exit the application; however, Catalogue stores the data in a temporary location. This data is available so that you can apply different options to create numerous text files to suit your purpose. Each time you log in, you can return to the Text File Download—Results page, select a previous data result, apply options to the data, and create a new text file that can be saved to your computer.
