About Compliance Checks

OpenText Active Catalogue can perform several different compliance checks. The compliance checks that are available to your account are determined by your OpenText administrator. Some options may be grayed out, indicating that the compliance check is mandatory for your account.

When a compliance check is enabled, Catalogue verifies that an item meets the data requirements for a particular set of validation rules. If the data is non-compliant, you can decide whether Catalogue should reject the data.

The following compliance checks are available:

Item Maintenance Compatibility — verifies that an item is compliant with specific rules, as follows:

Item identifiers of type EO are not allowed

14-digit UK item identifiers must start with 0

Items with the following prepack types are not allowed: CA, DS, IP, MX, PL

Note: You cannot add a mock GTIN (used for Catalogue/Intelligent Web Forms (IWF) integration) if the Item Maintenance Compatibility compliance check is turned on.

GMA Compliance — verifies that an item is compliant with GM&A (General Merchandise and Apparel) industry standards, as follows:

Color code, Color Desc, Size Code and Size Desc must exist.

If Color Code is 000 then Color Desc must be ‘NO COLOR’ and vice-versa.

If Size Code is 00000 then Size Desc much be ‘NO SIZE’ and vice-versa.

Prepack and Size Code check: Based on the prepack code/type, size code must be one of the following:

between 10000 and 89999 (or set to 00000 'NO SIZE')

at least 90000 (or set to 00000 'NO SIZE')

Color code and Color Desc must be consistent within the Product.

Size code and Size Desc must be consistent within the Product.

Color and Size Codes can’t be modified to different values when updating the item.

Color Code, Size Code and GTIN Type must be unique.

Size Code must be a valid GS1 US size code.

Prefix Validation — verifies that an item's GTIN begins with a GS1 (UCC/EAN) company prefix (also called Manufacturer Block ID) that is associated with your account. Not available to distributors.

Vendors must contact Support to change the settings for Prefix Validation. This precaution prevents a vendor from turning off prefix validation which could result in the vendor inadvertently using another account’s GTINs. See “Contacting Technical Support� .

Note: Be aware of the following:

If the Prefix Validation compliance check is turned on (both the “Enable compliance check� and “Reject non-compliant data� check boxes are selected�) and a GTIN uses a GS1 company prefix that is not associated with your account, you cannot add or modify the GTIN (the prefix is part of the GTIN number).

If the Prefix Validation compliance check is turned off, a GTIN using a GS1 company prefix that is not associated with your account can be added or modified (resulting in non-compliant data).

Note: Check your GS1 company prefixes to be sure that they are valid. OpenText does not recommend using invalid GS1 company prefixes, as it may result in chargebacks from some of your retailers.

To view your GS1 (UCC/EAN) company prefixes, go to Account > Account Details and click the GS1 (UCC/EAN) Company Prefixes tab.

Product Description Uniqueness — verifies that an item’s Product Description is unique across all products within your catalogue
